Guest Messages is where you write to your guests in one place. Pick a purpose, write the message once, and send it to the guests you choose. Each message is personalized with the guest's name, your date, your venue, their table and their RSVP link.
Open it from Guest Messages in the Guests group of the sidebar.
Choose a purpose
There are three purposes. Click a card to load its starting text:
- RSVP Reminder — "Nudge guests who have not responded yet." The starting text asks the guest to reply, and it includes the guest's personal RSVP link.
- Announcement — "Share an update — venue, time, or anything else." Use it for news such as a change of time or a road closure.
- Table Info — "Tell each guest where they are seated." The starting text includes the guest's table.
Each card shows two counts with small icons: how many messages went by WhatsApp and how many by email.
Write the message
Under Message, the editor says "Personalized for each guest with the variables below."
- Choose the channel: WhatsApp or Email.
- For email, type the Email Subject. The subject for a reminder starts as "RSVP Reminder —
{date}". - Write the Message Text. You can edit the starting text freely.
- Insert the variables where you want them. The variables are:
{name}— the guest's name,{date}— your wedding date,{venue}— your location,{table}— the guest's table,{rsvpLink}— the guest's personal RSVP link.
- Check the Live Preview. It shows the message with the variables filled in. It says "Select at least one reachable guest to preview." when no guest is selected.
Put {rsvpLink} in every reminder. The link is personal, so the guest opens their own RSVP page. If a guest has no link yet, generate it first on the RSVP & QR Codes page. See Enabling RSVP and Sending Links.
Choose the guests
What you see in the Select Recipients panel:
- WhatsApp / Email — the channel switch, with the number of guests you can reach on each channel.
- Search guests... — finds a guest by name.
- selected and Select All — how many guests are selected, and a button to select everyone in the list.
- Guest rows — a checkbox, the guest's name and RSVP status. Tick a box to add that guest to the message.
The guest list on the page lets you select who receives the message. Use Search guests... to find people. The summary card Awaiting RSVP shows how many guests have not answered, which is useful for reminders. Guests without a phone number cannot receive WhatsApp messages, and guests without an email address cannot receive email.
Send by email
With the Email channel selected, click Send Emails. When it finishes, the page reports the result, for example "12 emails sent" and, if some were skipped, "2 without email, 1 failed".
Send by WhatsApp: the queue
WhatsApp sends one guest at a time, so the app builds a queue.
- Choose the WhatsApp channel and select your guests.
- Click Start WhatsApp Queue.
- For the current guest, click Open WhatsApp. Your WhatsApp chat opens with the message ready.
- Send the message in WhatsApp, then return to the page and click Sent — Next Guest. The guest is recorded as sent.
- If you do not want to message this guest, click Skip.
- Click Stop — Resume Later to pause. The queue is kept.
When the last guest is done, the page says All messages processed!
Resume an unfinished queue
If you stopped a queue, a card titled Unfinished WhatsApp queue appears at the top of the page. It says how many messages have been sent, for example "3 of 10 sent — continue where you left off". Click Resume to carry on from the next guest.
Only Sent — Next Guest records a WhatsApp message in the history. If you close WhatsApp without tapping it, the guest is not recorded, so check the history before you send again.
Recent sends
Click Recent Sends to open the history. It lists the messages you sent, with the date and time. If nothing has been sent yet, it says: "Nothing sent yet — reminders, announcements and table info you send will appear here."
Frequently asked questions
FAQ
The guest needs a phone number in the Guest List. Add the number, then select the guest again.
Use the Awaiting RSVP count and the guest list to select only the guests who have not responded. Sending a reminder to everyone may annoy guests who have already answered.
The {table} variable needs a seat. Assign seats on the Seating Plan page first.
