Managing Your Bookings and Reservations

Keep flights, hotels, car rentals, tours and restaurant reservations in one list — add them by hand or paste a confirmation email.

Confirmation numbers buried in your inbox are the last thing you want to be searching for at an airport desk. The Bookings tab collects every reservation for a trip — flights, hotels, transfers, tours, tables — with its dates, confirmation number and cost.

Open your bookings

Open a trip and click the Bookings tab. You can also get there from the dashboard: in Trip essentials, click Bookings.

At the top you'll see three totals: Total Bookings, Confirmed and Total Cost. Below them is the list of bookings. Each one shows its type (such as FLIGHT or HOTEL), the provider, the confirmation number, the dates and the cost.

Add a booking

Click Add Booking. Start by choosing the Type — Flight, Hotel, Car Rental, Ferry, Train, Bus, Activity, Restaurant, Tour, Spa, Event or Other. The form changes to fit the type:

  • Flight asks for the Airline, Flight #, and From / To cities.
  • Hotel asks for the Hotel Name.
  • Car Rental asks for the Rental Company and location.
  • Ferry, Train and Bus ask for the Operator and the route.
  • Spa asks for the Spa / Treatment and its location.
  • Activity, Restaurant, Tour, Event and Other ask for a Name and Provider.

As you type, Trip Planner builds the booking name for you and shows it in the NAME box — for example "Singapore Airlines SQ21 · New York → Bali". The trip's destination is filled in for you where it makes sense.

Add Booking — pick a type and the form shows the fields that matter for it

Then fill in the details every booking shares:

FieldWhat to enter
Confirmation #The booking reference from your confirmation
Check-in / Start and Check-out / EndThe dates of the booking
Cost and CurrencyWhat you paid
Booking URL (optional)A link to manage the booking online
Notes (optional)Seat numbers, room type, cancellation deadline — anything useful

Click Add Booking to save. To make changes later, click the booking in the list.

Paste the Booking URL for anything you might need to change or cancel. When plans shift at the last minute, one click takes you straight to the right page instead of hunting through your email.

Import a booking from an email

Instead of typing everything, you can paste the confirmation email:

  1. Click Import from Email.
  2. Copy the text of your confirmation email and paste it into Email Content.
  3. Click Detect Booking Details. Trip Planner reads the email and shows what it found — such as the booking type, provider, confirmation number, dates and price.
  4. Check the details, then click Import Booking.
Paste a confirmation email and let Trip Planner pick out the details

Import works best with flight, hotel and car rental confirmations. If something wasn't picked up, open the booking afterwards and fill in the gaps.

You'll also see a Gmail Sync button for importing confirmations straight from Gmail. If it isn't available for your account, Trip Planner shows a message suggesting Import from Email instead — which works with any email provider.

Remove a booking

Click the red trash icon on the right of a booking. It's removed straight away, without a confirmation step.

Bookings and expenses are tracked separately. A booking's cost appears in the Bookings Total Cost, but not in your budget's Total Spent. If you want it counted in your budget, add it as an expense too — see Tracking your trip budget and expenses.

FAQ

Not at the moment. Every booking you add is saved as Confirmed. If a booking is cancelled, remove it from the list or note the cancellation in its Notes.

Yes. The Bookings row in Trip essentials shows how many bookings you've saved, and clicking it opens this tab.

Use Documents in the sidebar for travel documents. The Bookings tab is for reservations.
