Trip Budget: Track Spending for One Trip

How the Budget tab of a trip works: recording expenses, the spending summary, daily limits, the estimated-versus-actual check, recurring expenses and exporting a report.

The Budget tab tracks the money spent on one trip. Record each expense as you pay for it, and the tab shows the total, what is left, and where the money went.

The same expenses also appear on the Budget & Expenses page, which covers all of your trips. See Budget & Expenses.

Open the trip page and click the Budget tab. The stats strip is hidden on this tab, because the tab shows its own figures.

The Budget tab: the spending summary, the category breakdown and the expense list

What the summary shows

  • Total Spent: the sum of all expenses of the trip, in the trip's currency.
  • Remaining and a Budget Usage bar, when the trip has a budget. The budget is the value you set in Edit Trip.
  • By Category: how the spending is split between categories.
  • Daily Spending and Daily Avg: the spending per day of the trip.
  • Estimated vs Actual: the estimated total of the trip compared with the total you actually spent, with the difference shown as a variance. This section appears only when an estimate is available for the trip.
The summary cards: Total Spent, Daily Avg, Budget and Remaining, in the trip's currency.
The Estimated vs Actual section: the estimate, the actual total, the variance and the split into pre-trip and during-trip spending.

If the trip has expenses in more than one currency, the totals only include the trip's own currency. The page says so with a notice.

Add an expense

When a trip has no expenses yet, the tab shows an empty state with the text "No expenses yet" and "Start tracking your trip spending".

The empty state of the Budget tab, before the first expense is recorded.
  1. Click Add Expense. The Add Expense window opens.
  2. Enter a Description and an Amount. Choose the Currency and the Category, for example Food or Accommodation.
  3. Set the Date.
  4. Choose a Payment Method from the list: cash, credit card, debit card, wire or mobile pay.
  5. Choose a Split Type, which decides how the cost is shared among travelers. See below.
  6. Optionally add Notes (optional).
  7. Click Add Expense at the bottom of the window. The expense appears in the list and in the totals.
The Add Expense window, with Scan Receipt at the top, the fields in the order of the steps above, the Recurring Expense switch and the Add Expense button.

To change an expense, click it and edit it in the same window. To delete it, use its Delete expense control.

Split types

Split typeMeaning
Equal SplitThe cost is divided equally among the group.
Custom AmountsYou set the amount each person pays.
By PercentageEach person pays a percentage, for example 30/70.
ItemizedYou assign specific items to each person.

Split types are used for group expenses. They are shown on the expense with a small marker when they are not the equal split. See Group Travel.

Scan a receipt

Scan Receipt (auto-fill) reads a photo of a receipt and fills in the amount, date and description for you. Check every field after the scan, because the reading can be wrong.

Daily limit

You can set a daily limit to keep each day's spending in check.

The Today's Spending card. With no limit set, it shows the amount spent today and a Set daily limit link.
  1. Click Set daily limit and enter an amount.
  2. Click Save. The summary shows Today's Spending against the limit.
  3. When you are near the limit, the page warns you with Approaching today's daily limit. Above it, you see You've exceeded today's daily budget!
  4. Click Remove limit to turn the limit off.

The daily limit is stored in the browser you are using, not in your account. It does not follow you to another device, and clearing the site data for the app removes it.

Recurring expenses

Use a recurring expense for a cost that happens every day of the trip, such as a daily tram pass or a daily breakfast.

  1. In the Add Expense window, turn on Recurring Expense. The description reads "Create for each day of the trip".
  2. Click Add Expense. The app creates one expense for each day between the trip's start and end dates.

Each day's expense can be changed or deleted on its own.

Export a report

Click Export Report in the Expense Report card to download the trip's expenses as a CSV file. Open it in a spreadsheet app.

Trip expenses can also be added to your budget in the Budget Planner. This is the Trips → Budget connection in your account's Integrations settings. When it is on, each trip expense is converted to your currency and added to your budget. Turn it off there if you do not want that.

Bank connection

The Bank Connection card lists the banks and services you might connect to import transactions. It is marked Coming Soon. You cannot connect a bank account yet, so enter expenses by hand or use Scan Receipt.

Record each expense the same day you pay. The daily totals and the daily limit only work when the expenses are entered on the right dates.

FAQ

Bookings and expenses are separate. If you paid for a flight or hotel, add it as an expense on the Budget tab. The booking's cost stays on the Bookings tab.

The daily limit is saved in the browser where you set it. Set it again on each device you use.

Not yet. The bank connection is marked Coming Soon.

Total Spent is what you have actually recorded. Estimated vs Actual compares the trip's estimated total with what you spent, and shows the difference as a variance.
