Planning Your Itinerary Day by Day

Add activities to each day of your trip, set times and costs, reorder them with drag and drop, and see your plan on the dashboard.

Your itinerary is the heart of a trip: a list of everything you want to do, grouped by day. Once it's filled in, the dashboard shows you exactly what's planned for each day, and the activity costs give you an early idea of what the trip will cost.

Open the itinerary

There are two ways in:

  • From the Dashboard, click Open itinerary on the trip card, or Edit plan in the Your itinerary section.
  • From My Trips, open a trip — the Itinerary tab is the first tab and opens by default.

The tab shows one card per day (Day 1, Day 2 and so on) with the number of activities planned. When your trip has more than one day with activities, a row of day buttons appears at the top: click a day to show only that day, or All to see everything again.

The Itinerary tab — activities grouped into one card per day

Each activity shows its name, category, time, location and cost, so you can scan a whole day at a glance.

Add an activity

Click Add Activity (top right of the Itinerary tab). The Add Activity window opens:

FieldWhat it's for
Activity NameWhat you're doing, e.g. "Visit the Colosseum" — required
DayWhich day of the trip it belongs to. Changing the day fills in the matching Date for you
CategorySightseeing, Dining, Transport, Accommodation, Activity, Adventure, Cultural and more
Date / Time / DurationWhen it starts and roughly how long it takes
LocationStart typing and pick a place from the suggestions
Cost / CurrencyWhat it will cost, if anything
Description (optional)Notes, opening hours, a booking reference — anything useful
The Add Activity form — only the name is required

Click Add Activity to save. The new activity appears in its day card straight away. A new form always starts on Day 1, so remember to change the Day when you're filling in later days.

Don't worry about getting everything perfect up front. Add the activities you're sure about first, leave times blank where you're flexible, and fill in the details as your plans firm up. On the dashboard, activities without a time are simply shown as "Flexible time".

Edit, reorder or remove activities

  • Edit: click an activity's name to open it again. Change anything and click Save Changes.
  • Reorder: hover over an activity and drag it by the handle on its left. Drop it higher or lower within the same day, or onto an activity in another day to move it there.
  • Remove: hover over an activity and click the red trash icon.

Removing an activity happens immediately — there's no confirmation step. Double-check before you click the trash icon.

Optimize a day's route

On days with two or more activities you'll see an Optimize link in the day header. It reorders that day's activities into the shortest route between them, so you spend less time going back and forth across town.

Optimize uses the map position of each activity, so it only rearranges activities that appear on the trip's Map tab.

Your itinerary on the dashboard

The Your itinerary section of the dashboard is a quick daily view of the same plan. Click All to see everything, or use Choose a day (or the day buttons on shorter trips) to focus on one day. Activities are numbered in order, and when they have map positions, a small map appears next to the list.

Make your own categories

If the built-in categories don't fit — say you want "Street Food" or "Wine Tasting" — you can create your own with a custom icon and color. They then appear in the Category list when you add an activity. See Trip Planner settings.

FAQ

No. Activity costs are a planning estimate shown in your itinerary. Your budget's Total Spent comes from the expenses you record on the Budget tab. See Tracking your trip budget.

Every new activity gets a day number (Day 1 by default). Activities that were saved without a day appear in an Unassigned group — open one and set its Day to move it into your plan.

It's better to add them as bookings, where you can store confirmation numbers, check-in dates and costs. See Managing your bookings. You can still add an activity like "Airport transfer" if it helps you plan the day.
