The Kanban Board shows your tasks as cards in columns, so you can see at a glance what's waiting, what's in progress and what's finished. Open it from the sidebar under Projects → Kanban Board.
The five columns
Every task sits in one of five columns:
| Column | Use it for |
|---|---|
| Backlog | Ideas and work you haven't planned yet |
| To-Do | Work that's planned and ready to start |
| In Progress | Work someone is doing right now |
| Review | Finished work waiting to be checked |
| Done | Completed work |
The number next to each column name shows how many cards it holds. Use the arrow buttons above the board to scroll left and right through the columns.
Reading a card
Each card shows:
- the task title. Click it to open the task detail panel with subtasks, comments, files and time tracking.
- the project the task belongs to
- a coloured priority dot, the due date (red with a warning icon if overdue) and the person in charge
- how many days the task has been in its current column. This turns amber after 3 days and red after 7, so stuck work stands out.
- a progress bar, if the task has progress recorded
Move a task between columns
There are three ways to move a card:
- Drag and drop — grab the card by the dotted handle in its top-left corner and drop it in another column.
- Column dropdown — every card has a dropdown at the bottom. Pick a new column and the card moves.
- Circle button — click the circle on the card to send it straight to Done. Click it again on a done card to move it back to To-Do.
When a card reaches Done, the task is marked completed. Moving it out of Done reopens it. The same change shows up on the Variable Tasks page and on the project's detail page.
The trash icon on a card deletes the task after you confirm.
Dragging works best with a mouse. On a phone or tablet, use the dropdown at the bottom of each card. It's quicker and you won't drop a card in the wrong column by accident.
Sort, group and filter
The bar above the board helps you focus.
- Search tasks... — show only cards whose title matches.
- Sort — order cards inside each column by Default, Due Date, Start Date, Days Left or Progress.
- Group — split the board into rows (swimlanes) by Project, Priority or Person. Choose None to go back to one board.
- Hide completed — tick this to hide cards that are done.
- Filters — open a panel where you can pick one Project, Priority, Person and Decision to show. You can combine them. Use Clear All to reset.
Grouping by Project is handy when you run several projects at once. Each project gets its own row of columns, so you can review them one at a time.
The Decision filter uses the Do, Delegate, Decide and Delete tags that come from each task's Important and Urgent boxes. See Adding and managing tasks.
Adding tasks to the board
New cards come from your tasks. Add a task on the Variable Tasks page and pick its Kanban Category to choose its starting column. If you leave it alone, the task starts in To-Do. You can also press C anywhere to quick-add a task, which lands in To-Do.
FAQ
The board and the task list share the same data. Completing a task anywhere moves its card to Done, and reopening it moves the card back to To-Do.
No. The board always has the five columns Backlog, To-Do, In Progress, Review and Done.
Cards from projects someone else shared with you can only be moved if you have permission to edit that project.
