Recurring Tasks, Task Schedule and Task Filter

Set up tasks that repeat, tick off each occurrence on the Task Schedule, and search every task in one place with Task Filter.

Three pages in the Tasks group work together:

  • Recurring Tasks: the rules. "Weekly standup, every week."
  • Task Schedule: the generated occurrences, ready to tick off.
  • Task Filter: one searchable list of regular tasks and recurring occurrences together.

Use recurring tasks for routines such as a weekly report, a monthly invoice run or a yearly renewal.

Recurring Tasks

Open Recurring Tasks from the sidebar. A note at the top explains: "Recurring tasks automatically generate instances based on their frequency. Edit a recurring task to modify future instances."

Recurring Tasks: one card per repeating task

What you see

The search box above the recurring task cards
One recurring task card
  1. Add Recurring at the top right and a search box.
  2. One card per recurring task with its title, its frequency (for example Every Week), the project, the date range, the person, and a count such as "52 instances".
  3. Small Important and Urgent badges when those boxes are on.
  4. A pencil icon (edit) and a trash icon (delete) on each card.

With no recurring tasks you see No recurring tasks and an Add First Recurring Task button.

How to add a recurring task

The New Recurring Task dialog
  1. Press Add Recurring.
  2. Type a Task Title (for example "Weekly standup").
  3. Choose a Frequency.
  4. Pick a First Date.
  5. Optionally set an End Date, a Project, a Priority, a Person, the Important and Urgent boxes, and a Description.
  6. Press Create.

The Task Title, Frequency and First Date are required.

FrequencyRepeats

Every WeekEvery 7 days
Every 2 WeeksEvery 14 days
Every 4 WeeksEvery 28 days
Every MonthSame day each month
Every 2 MonthsEvery second month

Occurrences are created up to the End Date. With no end date, they are created for one year ahead.

Edit or delete

  • Click the pencil, change the fields and press Save. If you change the Frequency, First Date or End Date, the future occurrences you have not ticked off are replaced with new ones. Occurrences you already ticked off are kept.
  • Click the trash icon. The confirmation reads: delete the task "and all its instances".

Deleting a recurring task removes its occurrences that are not done. Occurrences you already ticked off are kept as history but no longer show in the Task Schedule.

Task Schedule

Task Schedule lists the occurrences that your recurring tasks generated, grouped by month.

Task Schedule: occurrences grouped by month

What you see

  1. A Recurring Task Instances card with "X of Y completed" and a percentage bar.
  2. Three buttons showing counts: All, To Do and Done.
  3. Month blocks, each with a heading such as "October 2026" and a count like "3/4".
  4. Rows with a circle, the task title, the project, the frequency and the date. Past dates that are not done turn red with a warning icon.

How to tick off an occurrence: click the circle on the left of a row. Click again to undo. When nothing has been generated yet the page says No scheduled instances and "Create recurring tasks to see generated instances here."

Task Filter

Task Filter is the place to find any task by combining conditions. It lists your regular tasks and your recurring occurrences together.

Task Filter: search and filters above one combined list

What you see

  1. A Filters card with a result count, for example "18 results".
  2. A search box, which matches the task title or the project name.
  3. Dropdowns for Status, Priority, Decision and Project. The Decision options are Do, Schedule, Delegate and Delete.
  4. An All, To Do and Done toggle.
  5. The list. Each row has a circle, the title, the project, a small Task or Recurring tag, the decision, the due date and the person.

How to use it

  1. Type in the search box, or pick one or more dropdown values. They combine.
  2. Click a circle to tick a task or an occurrence off.
  3. Click the title of a regular task to open the Task Detail Panel. Titles of recurring occurrences do not open a panel.

If nothing matches you see No matching tasks and "Try adjusting your filters."

Filter by Decision = Do and the To Do toggle to build a short list of the things that need doing now.

FAQ

Each occurrence appears on the Monthly and Weekly Calendars on its date, and in Task Filter.

Check the First Date and End Date. Occurrences are only created between them, or for the next year when there is no end date.

There is no skip button. You can tick it off, or leave it as it is.

Variable Tasks shows only regular tasks. Task Filter adds recurring occurrences and the Decision and Project dropdowns.
