Wiki and Whiteboards

Write nested wiki pages with version history, and sketch ideas on whiteboards with sticky notes, shapes, text and connectors.

Two pages in the Docs & Knowledge group help you keep ideas and know-how together. The Wiki is for written notes that stay useful, such as a process or a checklist. Whiteboards are for loose thinking, where you place notes and shapes and draw arrows between them.

Wiki

A wiki page has a title and plain text content. Pages can sit inside other pages, so you can build a tree: a "Onboarding" page with "Day one" and "Week one" pages beneath it. Every save is kept, so you can go back.

Open Wiki in the sidebar.

What you see

Wiki page with the page tree and editor
  1. On the left, a small form with Title, Destination project and a Create Page button.
  2. Under the form, the list of pages. Pages inside other pages are indented.
  3. On the right, the page you picked. It has a Title field and a large text box labeled Enter page content....
  4. Further down, a second Create Page box with an Add button for adding a page inside this one, a Delete button, and a foldable Version history section.

If no page is chosen, the right side says No pages yet until you pick or create one.

How to create a page

  1. In the left form, type a Title.
  2. Optionally choose a Destination project. The list only has projects you can edit.
  3. Click Create Page.

The new page opens on the right. It starts empty.

How to write and save

  1. Click the page in the list.
  2. Edit the Title or the content.
  3. When you change something, Save and Cancel appear. Click Save to keep your change, or Cancel to go back to the saved text.

The content is plain text, up to 100,000 characters. There is no formatting toolbar.

How to add a page inside another page

  1. Open the parent page.
  2. In its Create Page box, type the title of the new page.
  3. Click Add. The new page appears indented under the parent.

How to use version history

  1. Open the page and fold open Version history.
  2. Each version shows its date. Click a version's title to read the text it contained.
  3. Click Restore version, read the message ("Restoring creates a new version. Existing versions remain available."), and confirm.

Restoring is only possible when you have no unsaved change. Save or cancel your edit first.

Who can do what

You need edit access to change a page. If you can only view it, the fields are locked. The Delete button shows only for the owner of the page. Deleting asks you to confirm Delete this page?.

If someone else saved the page while you were editing, your save is refused and NevaPlan keeps your draft. Copy your text, reload the page, and apply your changes to the latest version.

Whiteboards

A whiteboard is a canvas. You add items, drag them where you want, and connect them with arrows. It is a good place for a brainstorm or a rough plan before it turns into tasks.

Open Whiteboards in the sidebar.

What you see

The board tabs and the New Board button, with the hint to select a board
Whiteboards page with the New Board button and canvas
  1. A New Board button in the page header.
  2. A row of buttons, one for each of your boards.
  3. After you pick a board, a toolbar with four item buttons, Sticky Note, Shape, Text and Connector, and a trash icon for the board.
  4. The canvas. A hint above it says: "Drag the grip or use arrow keys to move. Connect two items with an arrow; the connection follows them."
  5. On each item, three small buttons: a grip to move it, a pencil to edit it and a trash icon.

With no boards, the page says "No whiteboards yet. Create your first board." With boards but none selected, it says "Select a board from above to start collaborating."

How to create a board

The New Whiteboard window with the Board title field
  1. Click New Board.
  2. Type a name in Board title....
  3. Click Create. Then pick the board from the row of buttons.

How to add and move items

  2. Click Sticky Note, Shape or Text in the toolbar. The item appears on the canvas with a colour.
  3. Drag its grip to move it. You can also focus the grip and use the arrow keys to nudge it.

An empty canvas says "Click the toolbar buttons above to add items to the canvas".

How to edit an item

  1. Click the pencil on the item. The window title is Edit.
  2. Change the Content, the Width and Height, or the Color. Width goes from 160 and height from 100, both up to 1000.

How to connect two items

  1. Click Connector. It is switched off until the board has at least two items that are not connectors.
  2. In the window, choose From item and To item.
  3. Click Save. An arrow appears, and it follows the items when you move them.

To remove an arrow, click the trash icon in the middle of it.

How to delete an item or a board

  • Item: click its trash icon and confirm Delete this item?.
  • Board: click the trash icon in the toolbar and confirm Delete this board?.

FAQ

No. Pages hold plain text. Use short lines and nested pages to keep them tidy.

Only people with edit access can save. If two people edit at once, the second save is refused and the draft is kept so nothing is lost.

The board form only asks for a title. There is no project field on the Whiteboards page.

You need at least two items on the board that are not connectors. Add two notes or shapes first.

The page has no undo for deleted pages. The confirmation asks before it removes anything.
