The Team page is where you work with other people. You create a workspace, invite members with a code, choose what each person can do, and share projects with the workspace.
Use it when more than one person needs to see or edit the same project. If you only need to show progress to a client who does not have an account, use the Client Portal instead.
Open it from the sidebar: Projects group, Team. The page subtitle reads "Manage workspace membership and invitations."
What you see
- Create workspace with a Workspace name box.
- Join workspace with an Invitation code box.
- A Workspace dropdown, shown once you belong to a workspace. It lets you switch between workspaces.
- A Projects section: the projects shared with this workspace.
- A Members section with a counter such as "2/10" (members used out of the allowed number).
- An invitation section (for owners and administrators): the Create invitation form and the list of pending invitations.
If you have no workspace yet, the page says "Create a workspace or join using an invitation code."
Roles
| Role | What it means |
|---|---|
| Owner | Created the workspace. Cannot be changed or removed |
| Administrator | Can invite people, change roles and remove members |
| Member | Works in the shared projects |
| Guest | Sees only what you give them access to. Guests need a separate project invitation |
Only an Owner or an Administrator sees the role dropdowns, the Remove buttons and the invitation section.
How to create a workspace
- Type a Workspace name.
- Press Create workspace.
The new workspace is selected for you, and you are its Owner.
How to invite someone
- Make sure the right workspace is selected.
- In the invitation section, type the person's Email.
- Choose a Role: Administrator, Member or Guest.
- Press Create invitation.
- In the pending list, press Copy code next to the new invitation and send the code to the person yourself.
The help text on the page is clear about three things:
- The code expires after 48 hours.
- The person must sign in with the matching email account.
- No email is sent automatically. You deliver the code.
Each pending invitation shows the email, role, expiry time and the code. Press Revoke to cancel it. The Create invitation button is disabled when the workspace is full.
How to join a workspace
- Sign in with the email address the invitation was made for.
- Open Team.
- Paste the code into Invitation code.
- Press Join workspace.
How to change a role or remove a member
- In Members, find the person.
- Use their Role dropdown to pick Administrator, Member or Guest.
- To remove them, press Remove, then confirm "Remove this member's workspace access?" with Remove (or press Cancel).
How to share a project with the workspace
Only the workspace Owner sees this form.
- In the Projects section, open the Project dropdown and choose Select a project, then pick one of your projects.
- Press Share with workspace.
The help text under the button says: "Workspace members can view shared projects. Guests need a separate project invitation. Financial details remain private."
Shared projects appear as a list. Click a project name to open its tasks right on this page. If you can edit the project you can add a task with a title, and click a task to see its details, comments, assignees and attachments.
Per-project access
When a shared project is open, each member (except the owner) gets a button next to their name:
- Allow project editing for a Member, or Allow project viewing for a Guest, gives that person access to this project.
- Remove project override takes that special access away again.
Shared tasks are assigned to real workspace members. If an older task only has a typed name in Person, an owner can link it to a member with Link previous assignee. The original name is kept.
Share a project only with people who should see its tasks. Financial details stay private, but task titles and comments are visible to the people you share with.
